MEB is seeking an experienced Proposal Coordinator to join our Marketing & Business Development Team in Chesapeake, VA. The Proposal Coordinator provides critical support for the project procurement process and strategic pursuit of new business. Overall responsibilities include development and coordination of timely, high-quality, and competitive marketing proposals and presentations while ensuring brand continuity for MEB. Must champion and maintain MEB’s brand standards.

Job Responsibilities:

  • Perform responsibilities with excellence in service, integrity, and building relationships as exemplified in MEB’s core values
  • Analyze and interpret RFQ/RFP’s and develop compliance matrices
  • Ensure all requirements are understood by the pursuit team and incorporated into the final SOQ/proposal
  • Prepare proposal schedule and writing assignments and disseminate information regarding proposal deadlines to relevant parties
  • Proposal development – create effective section layouts, customize resumes, generate experience lists, request financial/bonding information
  • Work closely with marketing team and coordinate with estimating, subject matter experts, and business development teams to collect all required content / help keep team on track
  • Provide editing and proof-reading support
  • Final printing and assembly of the SOQ or proposal
  • Coordinate presentation materials for interviews (boards, PowerPoint presentations, etc.)
  • Stay current with MEB project experience, business operations, and personnel and understand MEB’s services, differentiators, and history
  • Coordinate and update templates, checklists, and marketing documents to support the proposal development infrastructure and maintain proposal quality management
  • Perform other duties as assigned

Required Skills

  • Strong time-management skills with the ability to organize, assess, and prioritize multiple tasks, projects, and demands, while working independently
  • Comfortable working in deadline-driven environment and ability to work with teams to complete projects
  • Possess strong verbal and written communication skills, and interact effectively at all levels within the organization
  • Superior skill level and experience using MS Office (Microsoft Word, Excel, Power Point and Outlook)
  • Strong technical proficiency in Adobe Creative Suite (InDesign, Photoshop, Illustrator, Acrobat, etc.)
  • Solid understanding of A/E/C industry

Preferred Experience

  • Bachelor’s Degree in English, Marketing, or Construction-related field
  • At least two (2) years of previous proposal experience; preferably in the A/E/C industry from which comparable knowledge and skills can be utilized
  • Experience writing, editing, and proof-reading proposals and technical materials
  • Strong A/E/C technical writing experience
